Hire of Patonga Hall
TERMS & CONDITIONS

Hire Rate

  • $50 per hour.
  • The minimum booking period is 4 hours.
  • The booking period must include time to set up and pack away. It should also include time to clean the hall should you choose the self-clean option.
  • Hire fees must be paid at least 28 days prior to the event date.

Security Bond

  • The Security Bond is $300.
  • The Security Bond is payable at the time of booking.
  • The booking is not confirmed until the Security Bond is paid.
  • The Security Bond will be refunded if there is no damage or breakages to the premises, its contents, or the hall grounds. This will be determined on inspection by the Hall Booking Officer.
  • The Security Bond will be forfeited if the police are called to your event.
  • Should the value of any damage or breakages exceed the amount of the Security Bond the hirer will be liable for the amount of the excess.

Cleaning Fee

  • The Cleaning Fee is $150 and is payable with every hire.
  • The Cleaning Fee must be paid at least 28 days prior to the event date.
  • If you choose to self-clean the Cleaning Fee will be refunded if the premises and grounds are clean, tidy and ready for its next use. This will be determined on inspection by the Hall Booking Officer.

Upon acceptance of your hire, an invoice will be issued which will include the above fees and bond and provide payment instructions.

Cancellations

  • For bookings cancelled 28 days or more prior to the event, no cancellation fee will be charged, and all payments made will be refunded.
  • Bookings that are cancelled less than 28 days prior to the event will incur a cancellation fee of 100% of the hire charge. The Security Bond and Cleaning Fee will be refunded.
  • Bookings made within 28 days of the event that are then cancelled will incur a cancellation fee of 100% of the hire charge. The Security Bond and Cleaning Fee will be refunded.

Back-up Venue

  • The hall is available as a back-up venue in case of bad weather. 
  • The minimum hire fee of $200 and Cleaning Fee are payable at least 28 days prior to the date required. 
  • The Security Bond is payable at the time of booking. 
  • The booking is not confirmed until the Security Bond is paid.
  • Should the hall not be used the minimum hire fee of $200 will be forfeited and the Security Bond and Cleaning Fee will be refunded.

Third Party

If you are using any product/service provided by another business, a Certificate of Currency of their Liability Insurance is required as part of your application. Examples of other products/services are providers of jumping castles, furniture or machine hire companies, musicians, chairs, tables, food trucks, caterers, event caterers, event managers and any other businesses associated with your event.

If you are using the hall for a commercial function, a Certificate of Currency for your liability insurance is required as part of your application for hire to be considered.  Please forward your insurance document directly to mariaquigg1@gmail.com. See also the “Service of Alcohol” section below.

All materials/equipment provided by a Third Party is to be removed from the premises at the conclusion of the event.  Items left behind waiting for collection may incur further hourly costs to the Hirer.

Decorations

You are welcome to decorate the hall.  Sticky tape (or similar) is not to be used. All decorations are to be completely removed from the premises at the conclusion of the event.  Failure to do this may result in a further cleaning fee.

Cleaning

There are two options for cleaning:

  • Option 1: The first option is self-cleaning where you are required to leave the hall clean and sanitised ie; hall, tables, chairs, kitchen, refrigerator, oven, toilets, floors and other items used. All bins must be emptied and with new liners placed (these are provided with the hire).  The hall must be left ready for the next use. You must include this time in your booking time.  Cleaning equipment, detergents and disinfectants are provided as part of your hire.  Please note that if you fail to clean the hall in its entirety, you risk forfeiting your whole deposit.  Please also see the COVID-19 section below.
  • Option 2: A cleaner will be arranged at a charge of $150. Tables and chairs must be cleaned and put away in the storeroom and all the hirers’ items removed from the premises.

Noise

As the hall is in a residential area, on Fridays, Saturdays or any other day preceding a public holiday, loud noise and music must cease by 10pm and all external doors must be closed. 

On all other days, loud noise and music must cease by 9pm and all external doors must be closed. 

Smoking

Smoking is not permitted inside the hall, on the deck or within 3m of the doors or windows.

Closure

The hall must be vacated by midnight.

Covid-19

All NSW Government requirements relating to COVID-19 must be adhered to.

Service of Alcohol

The hirer should make themselves aware of the provisions of the Liquor Act 2007 and the Gaming and Liquor Administration Act 2007 for Service of Alcohol requirements for your event.  Any breach of the legislation is the responsibility of the hirer.
